How to plan a wedding in Karachi from abroad

Whether you live in the UK, the USA, Canada, the UAE or Saudi Arabia, these are the steps to organise a wedding in Karachi without being there, and without depending on relatives to do the work.

  1. Fix the dates and functions

Agree the functions (dholki, mayun, mehndi, nikah, baraat, walima) and approximate dates with both families, around flights and leave.

  2. Set a budget and guest numbers

Guest numbers drive most costs because catering is priced per head. Agree a total budget and a target guest count for each function.

  3. Decide who will manage things in Karachi

Choose between relatives, separate vendors you manage yourself, or one contracted event manager who is accountable to you.

  4. Book the venues first

Venues for December and the winter season book early. Secure them in writing before other vendors.

  5. Compare caterers and menus

Get written per-head quotes, check what is not included, and arrange a tasting.

  6. Book the critical vendors

Décor, photography, sound and lighting, makeup and transport, each under a written agreement.

  7. Plan for Karachi’s risks

Backup generators, traffic and route timings, rain plans for outdoor events, and permits where required.

  8. Organise guest logistics

Hotels near the venue, airport pickups and daily transport for guests travelling from abroad.

  9. Track progress and payments

Insist on photos, contracts and receipts for every booking and payment, kept in one place.

  10. Hand over control on the day

Have one person or team run the day so the family can be hosts, then settle every vendor and review a closing report.

The most common mistakes

  • Paying vendor advances without a written agreement
  • Relying on a single relative to manage everything alongside their own job
  • Booking a venue from online photos without a proper visit
  • No backup plan for power cuts or traffic
  • Cash payments with no receipts, which later cause family disagreements

Questions families ask

How far ahead should I start planning a Karachi wedding from abroad?

Three to six months for a full wedding in the winter season; four to six weeks for smaller events.

Can I plan everything without travelling to Pakistan?

Yes. With video site visits, written quotes and a dashboard showing progress and payments, many families arrive only days before the first function.
